Welcome to Mndeme Safari. By accessing or using our website, making an inquiry, or booking a safari or other travel service with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. Please read them carefully before making a booking.

1. Booking and Payment

Reservation Confirmation

A booking is considered confirmed once Mndeme Safari has received the required booking information and the applicable deposit or full payment, as specified in the booking quotation or invoice.

Deposit & Balance

A 30% non-refundable deposit is required to secure a safari booking unless otherwise stated in the quotation or agreed in writing.

The remaining balance must be paid no later than 60 days before the safari start date.

For bookings made within 60 days of the scheduled departure date, full payment may be required at the time of confirmation.

Payment Methods

Mndeme Safari accepts payment through approved payment methods communicated to the client, including bank transfer and other available payment options.

Any bank charges, transaction fees, or other costs associated with making a payment are the responsibility of the client unless otherwise agreed in writing.

2. Pricing

What Is Included

The services included in the safari price will be clearly specified in the client’s quotation or itinerary. Depending on the package, inclusions may include accommodation, meals, transportation, professional guide services, park and conservation fees, and activities listed in the itinerary.

What Is Not Included

Unless specifically stated in the quotation, prices generally do not include international flights, visa fees, travel insurance, personal expenses, alcoholic beverages, tips, laundry, optional activities, or other services not expressly included in the itinerary.

Price Changes

Mndeme Safari reserves the right to adjust prices where necessary due to changes in government taxes, park or conservation fees, fuel costs, accommodation rates, exchange rates, or charges imposed by third-party service providers.

Any significant changes applicable to a confirmed booking will be communicated to the client.

3. Cancellations and Refunds

Cancellation by the Client

All cancellations must be submitted to Mndeme Safari in writing.

Unless otherwise stated in the client’s booking agreement or quotation, the following cancellation policy may apply:

  • More than 60 days before departure: deposit is non-refundable.

  • 59–31 days before departure: 50% of the total booking cost may be charged.

  • 30 days or less before departure: 100% of the total booking cost may be charged.

Cancellation charges may vary depending on accommodation providers, airlines, park authorities, or other third-party suppliers involved in the booking.

Where third-party suppliers have stricter cancellation policies, those conditions may apply to the relevant portion of the booking.

Cancellation by Mndeme Safari

Mndeme Safari may cancel, postpone, or modify a safari where circumstances beyond our reasonable control make it necessary or unsafe to operate the trip.

Such circumstances may include severe weather, natural disasters, government restrictions, security concerns, significant operational disruptions, or other force majeure events.

Where appropriate, Mndeme Safari may offer an alternative travel date, itinerary adjustment, or refund in accordance with the applicable supplier policies.

Mndeme Safari will not be responsible for additional costs incurred by the client, including non-refundable international flights, visas, accommodation, or other independent travel arrangements, unless otherwise agreed in writing.

4. Travel Insurance

Travel insurance is strongly recommended for all travelers and may be required for certain bookings.

Clients are responsible for obtaining appropriate insurance covering, where applicable, medical emergencies, evacuation, trip cancellation or interruption, baggage and personal belongings, travel delays, and other risks associated with international travel.

Clients should review their insurance policy carefully to ensure that it provides adequate coverage for their planned activities.

5. Travel Documents

Clients are responsible for ensuring that they have all necessary and valid travel documents before departure.

These may include:

  • A valid passport, generally with at least six months’ validity where required.

  • A valid Tanzanian visa or other required entry authorization.

  • Required vaccination or health certificates where applicable.

  • Any permits or documentation required for specific activities or destinations.

Mndeme Safari is not responsible for losses resulting from a client’s failure to obtain or carry the required travel documents.

6. Health and Safety

Safari travel and outdoor activities may involve inherent risks, including road travel, wildlife encounters, varying weather conditions, remote locations, and physical activities.

Mndeme Safari takes reasonable measures to prioritize the safety and wellbeing of its guests. Clients are expected to follow the instructions of their guide, driver, and other authorized personnel throughout the trip.

Clients are responsible for informing Mndeme Safari of any medical conditions, allergies, dietary requirements, mobility limitations, or other relevant circumstances that may affect their participation in the safari.

7. Itinerary Changes

Mndeme Safari makes every reasonable effort to operate tours according to the confirmed itinerary.

However, itineraries may need to be adjusted due to weather conditions, wildlife movements, road conditions, park regulations, accommodation availability, safety considerations, or other circumstances beyond our control.

Where changes are necessary, Mndeme Safari will make reasonable efforts to provide a suitable alternative while maintaining the overall quality and purpose of the safari.

8. Accommodation and Third-Party Services

Accommodation, transportation, activities, and other services may be provided by independent third-party suppliers.

While Mndeme Safari carefully selects its partners, we are not responsible for circumstances that are directly caused by third-party providers and are beyond our reasonable control.

Accommodation may occasionally be changed to another property of a similar standard where operational circumstances require it.

9. Client Conduct

Guests are expected to behave respectfully and responsibly throughout their journey.

Clients must:

  • Respect Tanzanian laws and regulations.

  • Respect local communities, cultures, traditions, and customs.

  • Follow national park and wildlife regulations.

  • Follow instructions provided by safari guides and drivers.

  • Avoid behavior that may endanger themselves, other guests, staff, or wildlife.

  • Respect the environment and avoid littering or damaging natural and cultural resources.

Mndeme Safari reserves the right to terminate a client’s participation in a safari where their conduct presents a serious safety risk, violates applicable laws, or significantly disrupts the experience of other guests.

In such circumstances, no refund may be provided for unused services.

10. Wildlife and Environmental Responsibility

Wildlife sightings are a natural part of safari travel and cannot be guaranteed.

Mndeme Safari does not guarantee sightings of specific animals or particular wildlife experiences.

Guests are expected to follow responsible wildlife-viewing practices and all applicable park regulations. We encourage responsible tourism that protects Tanzania’s wildlife, natural environments, and local communities.

11. Photography and Use of Images

Mndeme Safari may take photographs or videos during trips for documentation and promotional purposes.

Where images clearly identify a guest, we will respect reasonable requests regarding their use.

Clients who do not wish to appear in promotional photographs or videos should notify Mndeme Safari in writing.

12. Personal Belongings

Clients are responsible for their personal belongings throughout the trip.

Mndeme Safari recommends that guests keep valuables, passports, money, electronics, and other important items secure.

Mndeme Safari is not responsible for loss, theft, or damage to personal belongings except where liability is required by applicable law.

13. Force Majeure

Mndeme Safari will not be liable for failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control.

Such circumstances may include natural disasters, extreme weather, epidemics or pandemics, government restrictions, civil unrest, changes in regulations, strikes, road closures, or other unforeseen events.

14. Liability

Mndeme Safari will take reasonable care in arranging and providing the services included in a confirmed booking.

To the extent permitted by applicable law, Mndeme Safari shall not be responsible for losses, delays, injuries, damages, or expenses arising from circumstances beyond our reasonable control or from the independent acts or omissions of third-party service providers.

Nothing in these Terms & Conditions is intended to exclude or limit any liability that cannot legally be excluded or limited under applicable law.

15. Complaints

If a client experiences a problem during a safari, they should notify their Mndeme Safari representative, guide, or driver as soon as reasonably possible so that we have an opportunity to address the matter during the trip.

Formal complaints should be submitted to Mndeme Safari in writing after the trip, providing relevant details and supporting information where available.

16. Privacy

Personal information provided by clients during inquiries and bookings will be handled in accordance with Mndeme Safari’s applicable privacy practices.

Information may be used for purposes including booking arrangements, communication, customer service, payment processing, and delivery of requested travel services.

17. Governing Law

These Terms & Conditions shall be governed by the applicable laws of the United Republic of Tanzania.

Any dispute arising from or relating to a booking or these Terms & Conditions shall be addressed in accordance with applicable Tanzanian law and the appropriate jurisdiction.
